Special events and services run over the festive season are likely to attract additional visitors to your church, so it’s important you prepare.

Most of the time, such activities represent little or no additional risk. However larger events can present additional risks, so it is a good idea to consider any additional precautions you might need to take to ensure people remain safe.

CCI has developed the following resource Risk Assessment Template to help your church apply risk management to all risks and incidents that may have the potential to cause injury or damage and associated costs for your church. It is paramount that you carefully consider the potential risks involved and implement appropriate mitigation measures.

Here are some key examples to consider:

  • Trip Hazards from Cables: Ensure the use of cable matting and Residual Current Devices (RCDs) to prevent electrical hazards. It is crucial to inspect cables thoroughly before opening doors or allowing public access. Confirm that our liability insurance is up to date and covers such incidents.
  • Child Lost or Missing During Carols: Establish a robust check‑in and check‑out system for children’s areas. Designate a clearly marked child safe zone and implement a strict child safety protocol. Radio communication should be used among trained child safe officers, and access to an incident report form must be made available to address any concerns.
  • Food Allergy Reaction: Allergen signage must be prominently displayed, with clear separation between raw and ready-to-eat meals. A qualified first-aid presence at the event is essential to respond promptly to any allergic reactions.
  • High Winds Affecting Marquees: Develop a comprehensive anchoring plan and conduct live weather monitoring throughout events. Set clear wind thresholds for suspending marquee operations if conditions become unsafe. Confirm that insurance coverage for contents items.

Please remember that each Church has its unique environment and specific requirements. It is therefore prudent to tailor these recommendations accordingly and ensure that proper processes and measures are followed diligently.
