Position Available: CCVT Administrator

 The purpose of the Administrator role (accountable to the Communities Team leader but also assisting the other functional teams and the Executive Officer where needed) is to assist with the planning, implementation, and management of the projects and processes required by the Churches of Christ in Victoria and Tasmania in a 0.5-0.6 FTE capacity (with specific office attendance and work from home arrangements to be determined). 

RESPONSIBILITIES

  1. Preparation and planning, distribution and collation of the annual CCVT Affiliate Census. 
  2. Overseeing of all information required for the CCVT Directory and Annual Report, inclusive of the preparation of statistical and financial information from CCVT systems. 
  3. Responsible for the data integrity and maintenance of the CCVT databases or systems (Salesforce, Box, MyChurch, Humanitix, etc.) 
  4. Document control of all hard-copy and electronic files for CCVT, supported by other staff. (Sharepoint, Box drive, One drive, Archives). 
  5. Scheduling of regular CCVT admin team meetings. 
  6. Contribute strategically to CCVT communications, in conjunction with the Communications Officer and Executive Officer. 
  7. Organisation of the annual CCVT Summit and AGM, and other events as necessary. 
  8. Provide administrative support through answering incoming phone calls, directing queries, assisting with new staff induction, and office management. 
  9. Assist the Leadership Team with the affiliation of new churches or agencies, completing due diligence, background research, and the processing of affiliation applications. 
  10. Other ad-hoc duties as required by the business.

SKILLS & EXPERIENCE REQUIRED 

  • An understanding of the ministry dimension of the leadership roles carried by the executive staff as demonstrated by active and regular involvement in a Christian Church, preferably one affiliated with CCVT. 
  • A willingness to adopt the core values and vision of CCVT Inc. 
  • Familiarity with, and understanding of, Churches of Christ – or a willingness to develop an understanding. 
  • A willingness to be flexible within a team environment. 
  • The ability to think strategically and to demonstrate strong problem-solving skills. 
  • The ability to actively contribute to positive relationships. 
  • A collaborative team player with the ability to communicate with a wide range of people. 
  • Sound knowledge and experience in operating Microsoft Office, databases, and online platforms and other necessary software. 
  • Ability to handle correspondence, reports and mailings promptly and efficiently. 
  • Ability to demonstrate a high level of accuracy and attention to detail. 
  • Ability to coordinate the detailed management of large- and small-scale events, e.g. Summits, AGMs, conventions, conferences, seminars and attend when necessary. 
  • Excellent time management and organisational skills, with an ability to prioritise multiple tasks and meet deadlines.
